Job description

Project Manager - Wembley Stadium
Reporting to: Managing Director
Location: On-site, Wembley Stadium (Full-time)
Salary: £55,000 - £60,000 depending on experience

Role Overview
This is not a standard project management role.

The Project Manager for Wembley is the senior operational and commercial lead for all stadium branding, print and graphics activity within Wembley Stadium - one of the most high-profile live event venues in the world.

You will take full ownership of performance, delivery quality, commercial outcomes, and team coordination across both BAU activity and major stadium events - from Premier League fixtures and FA Cup Finals to global concerts and large-scale activations.

Working in close partnership with the wider Projects Team, event leadership is shared on a rotating basis. Every match, concert, or major activation has one clear accountable owner - and when it's your rotation, that accountability sits fully with you.

This role is strategic, operational, and hands-on when required. It exists to make Wembley a flagship example of margin control, planning discipline, high-quality delivery, and world-class client service.

Core Objectives
  • Deliver strong profitability and protect margin across all Wembley operations
  • Strengthen planning and resourcing to reduce reactive work and last-minute pressure
  • Embed safe, compliant working practices across all installation and maintenance activity
  • Develop structured systems and clean data flow to enable predictable, efficient delivery
  • Lead the Wembley team with clarity, authority, and calm accountability
  • Reduce operational errors, delays, cost overruns, and NCRs

Key Responsibilities
1. Strategic & Operational Leadership
  • Own the end-to-end delivery of all stadium work: planning, scheduling, installation, and reporting
  • Share event leadership on a structured rotation model - ensuring clear ownership and sustainable workloads
  • Build and enforce disciplined workflows and forward planning cycles
  • Oversee all on-site activity with a focus on safety, quality, efficiency, and profitability
  • Provide coaching, leadership and operational support to the wider team
  • Act as the senior point of accountability during live event weeks
This role requires someone comfortable leading from the front - particularly during high-pressure moments.

2. Commercial & Financial Accountability
  • Full responsibility for revenue, margin, and cost performance at Wembley
  • Forecast labour and material requirements accurately to protect margin
  • Identify commercial risks early and adjust plans to maintain profitability
  • Spot and monetise upsell opportunities within the stadium environment
  • Support pricing improvements, value engineering, and cost control initiatives
This is a commercially accountable role - not just operational coordination.

3. Health, Safety & Compliance
  • Ensure all work meets IOSH and stadium safety regulations and company standards
  • Lead RAMS reviews and toolbox talks where required
  • Maintain an inspection-ready, compliant, safe working environment at all times
  • Champion a culture where safety and quality are non-negotiable

4. Systems & Data Ownership (Lift)
  • Use Lift to manage event and BAU bookings, product ordering, and forward planning
  • Maintain clean, accurate, and complete event data
  • Ensure visibility of upcoming pipeline and workload forecasting
  • Drive disciplined system usage across the team
Data discipline is critical to margin control and planning efficiency.

5. Process Improvement & Continuous Development
  • Work with senior leadership to refine and improve operational workflows
  • Introduce scalable processes that reduce rework and increase delivery speed
  • Strengthen communication between Wembley and the production hub
  • Embed a culture of accountability, continuous improvement and ownership
The expectation is evolution - not maintenance of the status quo.

6. Hands-On Operational Support
This is a leadership role, but not a desk-only role.
During peak periods, you will:
  • Step into installations when required
  • Support critical live event delivery moments
  • Solve problems quickly and calmly
  • Lead by example with strong technical judgement and decisive action
You set the tone for how pressure is handled.

Workload & Rotation Model
Wembley is a live event environment. That means flexibility is essential.
  • Events include football matches, concerts, conferences, and large-scale activations
  • Peak season typically runs February-May, with concerts through summer
  • September-November is also busy; December is generally quieter
  • Event weeks can require 6-7 day commitments
However, this role operates on a structured rotation system:
  • Event leadership rotates to prevent burnout
  • No one works every weekend
  • Time off in lieu is provided for weekend or late-night work
  • Non-event weeks operate largely within standard office hours (approx. 8:30am-5pm)
This is demanding work - but it is structured and managed properly.

Candidate Profile
We are looking for someone who wants ownership, not just coordination.
You might be:
  • An ambitious Project Manager ready for greater responsibility
  • Experienced in live events, venue environments, branding, graphics, or fast-paced installations
  • Comfortable juggling multiple moving parts under pressure
  • Commercially aware and margin-conscious
  • Highly organised with strong communication skills
  • Emotionally intelligent and confident in client-facing conversations
Deep print expertise is not essential - event understanding, work ethic and ownership mindset are.
You must:
  • Be London-based
  • Be comfortable working fully on-site at Wembley
  • Be flexible around live event schedules
There is no hybrid option due to the nature of the role.

Why This Role?
  • Exposure to some of the UK's most high-profile live events
  • A senior, accountable role with real influence
  • A collaborative, supportive team environment
  • Clear structure to avoid burnout despite event intensity
  • Competitive salary with time off in lieu for weekend work
This is a role for someone who thrives in live environments and wants to build something exceptional within one of the world's most iconic venues.
